Sales, operations and finance automation.
Each service is one process, built end to end inside the tools you already pay for, mostly GoHighLevel, HubSpot and Stripe. Most projects start with one and add the next when it's running.
Lead qualification and routing
Every form is scored the same way. Weak leads stop there, good ones get a timed follow-up and an owner.
Pre-call brief
When a call is booked, a one-page brief lands on the deal: fit, red flags, and the questions worth asking.
No-show recovery
A missed call starts a short rebooking sequence the same day, instead of sitting in the calendar until someone notices.
Next step after the call
Call notes turn into a clear next step: send the proposal, ask for what's missing, or book another call. If the notes are unclear, a person decides.
Stalled deal follow-up
Every morning each open deal is checked. Quiet ones get a follow-up or go to the owner. Deals where the customer asked you to wait are left alone.
Lost deal (win-loss) review
Each lost deal gets a likely cause and the evidence behind it, so the pattern shows up before the next ten are lost.
CRM and database sync
A record changes in one system and the other follows. Matched by email, no duplicates, retried if the API fails.
Inbox routing
Incoming email is sorted by clear rules and sent to the person or channel that owns it. Nothing sits unread.
Daily system checks
The settings your email and tools depend on are checked every day. A change is flagged the day it happens.
Answers from your documents
Your team asks a question and gets the answer from your own policy or process docs, with the source.
A payment fails
Stripe reports it. One case per invoice, so the customer never gets duplicate emails.
Read why it failed
Low balance, an expired card and a stolen card need three different responses.
Pick the right response
The path depends on the decline reason.
Status on the customer
The outcome lands in your CRM, so nobody has to open Stripe to see where a customer stands.
What you get, whichever service you pick.
One fixed price, agreed before we build anything.
A map of the process
Written down and agreed with you before any building starts.
Built in your tools
GoHighLevel, HubSpot, Stripe, Gmail, Slack or whatever you already use. No new platform to learn.
Tested on your real data
Including the messy cases: missing fields, failed payments, customers who never reply.
A clear log
You can see what the system did and why, without asking us.
Documentation
What runs, what triggers it, and how to change it. You own it.
First live runs, together
We watch the first real runs with you and fix anything that needs it.
Before you book.
Price, process, payments and what happens after handover.
How much does it cost?
Single-process systems start at $1,200. Connected systems with several workflows or an AI step usually run $3,500 to $15,000. The exact number comes after the first call, and it is fixed before anything is built. No retainer required.
What does the process look like?
A 30-minute call to understand the process. Then a short map of what we'd build, with a fixed price and timeline. We build inside your tools, test on your real data, and watch the first live runs with you before handover.
How do payments work?
50% when we start and 50% on delivery. Projects over $5,000 are split into three payments by phase. Tool subscriptions like n8n or Zapier stay on your own accounts.
How long does it take?
It depends on the process. A single system usually takes one to three weeks, from mapping to the first live runs. You get the timeline together with the price.
Can you take over our GoHighLevel workflows?
Yes. A lot of GoHighLevel accounts have workflows that were built quickly and now trigger twice, skip contacts or nobody remembers what they do. We map what runs, fix or rebuild what's broken, and move logic GoHighLevel can't handle well into n8n or Zapier. You get it documented either way. More on our GoHighLevel automation work.
Do you work as HubSpot automation consultants?
For automation, yes. We build HubSpot workflows, sync HubSpot with your database, payments and other tools, and handle what native workflows can't, like deduplication across sources and API rate limits. We don't do HubSpot onboarding or marketing campaigns.
Which tools do you work with?
We build mostly in n8n, Zapier and Python, connected to GoHighLevel, HubSpot, Stripe, Klaviyo, Gmail, Slack, Google Sheets and PostgreSQL. If your tool has an API, we can usually work with it.
What if something breaks after handover?
You get documentation that explains what runs and how to fix common issues. You own the system and can run it without us, or bring us back for changes.
Do you work with US companies?
Yes. The site, calls and documentation are set up for US businesses, and we schedule calls in US business hours. Everything happens remotely.
Tell us what eats your week. We'll tell you which one fits.
Or whether you need one at all. Some processes are fine the way they are, and we'll say so.
